Every Toastmaster Club appoints an
Executive Committee comprising of seven roles. Committee members are voted in
by the active membership and the term of office usually runs from 1st July to
30th June the following year. The office of President may only be held for one
year at a time. Other roles may be held for consecutive years although it is beneficial
for Clubs to find new people to fill these roles every year in order to give others
leadership opportunities. Listed below are the roles and who is holding the various
positions at Fairfield for the 2006-2007 Toastmaster year. President
- (Rhonda Hookham DTM) The
President serves as the Club's chief executive officer, responsible for general
supervision and operation of the Club. The President ensures that meetings start
and end on time; make sure guests are warmly welcomed; allows time before and
after the meeting to speak with guests; read and/or display the Club Mission at
every meeting; discuss the Distinguished Club Program and the Club's progress
and achievements in it; recognise member achievements in Toastmasters and in their
personal lives; report on the "Moments of Truth" the Club is achieving. Vice
President Education - (Chris Carrie ATM-S) The
Vice President Education is responsible for planning successful Club meetings
so that each member has the opportunity to achieve his or her educational goals.
The VPE is the second highest ranking Club officer, presiding at Club and Executive
Committee meetings in the absence of the President. Some of the VPE's other responsibilities
are; completing schedules and assignments at least three weeks in advance and
confirming each schedule five to seven days prior to the meeting; promoting participation
in the educational programs; tracking all members' progress toward educational
goals and orienting new members to the Toastmasters program within two meetings
after they join. Vice President
Membership - (Victor Patruno CC) The
Vice President Membership is the third ranking Club officer. The main task of
the VPM is to conduct ongoing membership building programs. Some other responsibilities
include; Achieving 20 members by year-end or sooner; collecting membership applications;
greeting guests and have them sign the Visitors book; reporting on current membership;
promoting membership campaigns; welcoming new members; formally inducting new
members at the first meeting after joining; helping guests wishing to join complete
the Application for Membership and speaking with fellow members to determine if
their needs are being met. Vice
President Public Relations - (Peggy Kemp CL) The
Vice President Education is the fourth-ranking Club officer. Some of the responsibilities
of the VPPR is to; promote the Club in the local media; produce and distribute
a Club Newsletter; promote membership programs; attend Club Executive Committee
Meetings; attend other Toastmasters events; attend District-sponsored Club officer
training; arrange for a replacement if unable to attend a Club meeting; prepare
a successor for office. At the Club meeting; announce upcoming events and programs;
ask for contributions for the newsletter; greet members and guests. Secretary
- (Anne Maree Thomas CC) The
Secretary is the fifth-ranking Club officer. Some of the Secretary's responsibilities
are to; maintain an accurate membership roster and give it to the Treasurer to
submit with dues; mail club officer list to world headquarters within 10 days
after elections; handle general Club correspondence; keep Club files, including
the Club charter, Constitution, By-Laws, minutes, resolutions and correspondence;
attend Club Executive Committee meetings; attend District-Sponsored Club officer
training; arrange for a replacement if unable to attend meetings; prepare successor
for office; record and read minutes; greet members and guests. Treasurer
- (Nicole Lu TM) The
Treasurer is the sixth-ranking Club officer. Some of the responsibilities are
to; prepare a budget to be approved by the Executive Committee and membership
within one month of taking office; provide the bank with a new signature by 1st
July; prepare and send dues statements by 15th August/15th February; collect and
send dues to World Headquarters by 1st October and 1st April, and work with the
Vice Presidents to contact members who have not paid dues; submit new member applications
to World Headquarters within 48 hours after receipt; pay bills as due; keep records
of all financial transactions; present verbal and written financial reports quarterly;
attend District-sponsored Club officer training; arrange for a replacement if
unable to attend a meeting; prepare successor for office; receive completed new
member applications and dues; announce when dues are due and explain due structure. Sergeant
at Arms - (Annemarie Pinnington TM) The
Sergeant at arms is the seventh-ranking Club officer. Responsibilities are to;
schedule meeting location; maintain Club equipment in working order and check
after each meeting to ensure adequate supplies are available; attend Club Executive
Committee Meetings; attend District -sponsored Club officer training; arrange
for a replacement or for assistance if necessary; prepare successor for office;
arrange the room at least ten minutes prior to a meeting; make sure lectern is
in place, the banner is displayed, evaluation forms and ballots distributed, awards,
supply catalogue, progress chart and educational material displayed and name badges
available; greet the Area Governor and other visiting officers and escort them
to the Club President; arrange food service at meal meetings; ensure meetings
start on time; collect ballots and tally votes for awards. |
